V-Project Management Consulting LLC is seeking an Executive Assistant to support the Corporate Headquarters in Hagerstown, MD. The scope of this requirement is to provide the Corporate Office with Administrative C-Suite Operations, Portfolio Management, Procurement Management, and Event Management Support.
Associate's Degree or Bachelor’s Degree from an accredited college or university in business, IT, science, management or related field.
Required Relevant Years of Experience:
At least five (5) years of experience in providing administrative assistance, project coordination, and event coordination support.
At least one (1) year of experience providing support to C-Suite Executives.
Required Years of Experience:
At least two (2) years of experience in developing documents such as meeting agendas, meeting minutes, schedules, plans, reports, briefings, processes, procedures, marketing materials, and checklists.
At least two (2) years of experience scheduling meetings, events, training, appointments or any other bookings.
At least one (1) year of experience providing customer service to clients, customers, vendors or staff.
At least one (1) year of experience using G-Suite: Gmail, G-Chat, G-Calendar, Google Drive, Docs, Sheets, Slides, & Forms.
At least one (1) year of experience using MS Office, Adobe, Zoom, MS Teams,
At least one (1) year of experience using Calendly or similar Event Scheduling tool.
At least one (1) year of experience using Constant Contact or similar email Marketing tool.
Demonstrated written and verbal communication skills.
The candidate will provide Administrative support to C-Suite Executives.
Manage the Calendars.
Schedule Events & Meetings.
Book Speaking Gigs, Reservations, Training Sessions, and Appointments for Executives.
Book Networking Events for the Executives: Dinners, Galas, Socials, etc.
Ensure Executives attend Appointments, reviews Documents, prepares for Meetings, Webinars, Speeches, etc.
Develop Presentations, Speeches, Reports, Analyses, and any other documents for the Executives.
Travel with Executives, when required.
Create a Checklist of Items Needed for Events.
Ensure all Items have been Created/Ordered/Packed/Delivered for Events.
Update Checklist before/after Events.
Setup/Cleanup at Events.
Develop Company documents such as marketing materials, plans, templates, processes, procedures, and any other Corporate documents.
Assist with Procurement Opportunities.
Contact/Assist/Follow-up with clients, customers, vendors or staff, when needed.
Onboard/Offboard employees and consultants, when needed.
Complete any other duties assigned by Executives or Managers.
